Privacy
This notice explains how Identity Canvas Core handles personal information about sitters, enquirers, and people named in papers brought to the table.
Who is responsible

We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. If you sit with us from outside Australia, we still hold the record in Australia.
What we collect
From an enquiry: name, email, telephone if you give it, preferred sitting date, the sitting you named, and the message you wrote.
From a sitting: handwritten notes, typed drafts, copies of papers you asked us to copy, payment references, and (only if you ask in writing) an audio recording of a sitting.
We do not collect health files, passport numbers, or tax file numbers through the website form, and we ask you not to send them. If a paper on the table contains such numbers, we copy only the lines needed for the station and return the original.
Why we collect it
We use this information to answer enquiries, run sittings, write drafts and canvases, take payment, keep appointment records, and meet bookkeeping and legal duties. We do not sell sitting lists. We do not use sitting notes to send marketing.
Cookies and this website
The website may set essential cookies so pages load as intended, and optional analytics cookies if you accept them on the banner. Details are on the cookie notice.
Retention
Enquiry messages that do not become a booking are kept for twelve months, then deleted.
Opening Sitting cards and Applied Identity Reviews: working notes are destroyed ninety days after you collect the written work, unless you ask us to hold a sealed copy.
Identity Journey Canvas: working notes are destroyed after binding. We keep a payment record and the date of handover for seven years for accounting law. A sealed duplicate is held only if you requested it; you may ask for it to be destroyed or posted to you at any time.
Audio, if authorised, is deleted after the draft is approved, unless you have asked us to keep it with a sealed duplicate.
Who else sees it
Practitioners in the studio. A bookkeeper sees payment references, not sitting notes. A printer or binder sees the pages of a canvas, which you will have approved. We do not send sitting notes overseas for processing. If you email us, your message may pass through mail servers outside Australia; we cannot control those carriers.
International transfers
Our sitting records are kept in Australia. Website hosting and email may involve processors outside Australia. Where that happens, we use suppliers who contract to protect the information. The cookie notice names analytics providers if you have allowed that cookie.
Your rights
You may ask for access to the personal information we hold about you, for a correction, or for deletion of working notes that are still in our hands. We may refuse deletion of a payment record we must keep by law. If you are named in another sitter’s canvas, we cannot give you that canvas; it belongs to the sitter.
To make a request, write to hello@identitycanvascore.digital. We aim to answer within thirty days. You may complain to the Office of the Australian Information Commissioner if you are not satisfied.
Children
We do not sit with people under eighteen and we do not knowingly collect their information through this site.
Changes
We will update this notice when our holding practices change. The date of the sitting or enquiry determines which notice applied at the time, unless a later law requires us to handle a record differently.
